These terms and conditions govern your use of the Cambridge Photographers website and, if you book our photography services, the terms of that booking. Please read them carefully. By using our website or booking our services, you agree to these terms.

References to “we”, “us”, and “our” mean Cambridge Photographers Ltd. References to “you” and “your” mean the person using our website or booking our services.

Part A — Website terms of use

2. Using our website

You may use our website for personal, non-commercial purposes. We grant you a temporary, revocable licence to browse the site, print individual pages for personal reference, and download content where we expressly make it available for download.

You must not use our website in any way that is unlawful, harmful, or fraudulent, or in connection with any unlawful, harmful, or fraudulent purpose. You must not attempt to gain unauthorised access to our website, the server on which it is hosted, or any connected database. You must not introduce viruses, malware, or any other technologically harmful material. Any such activity may constitute a criminal offence under the Computer Misuse Act 1990, and we will report suspected offences to the relevant authorities.

We may update, change, or withdraw our website at any time without notice. We do not guarantee that our website will always be available or free from errors.

Part B — Copyright and intellectual property

5. Our copyright

All content on this website — including photographs, text, graphics, logos, page layouts, and software — is the property of Cambridge Photographers Ltd or its licensors and is protected by the Copyright, Designs and Patents Act 1988 and international copyright laws. No images on this website are in the public domain.

You may not reproduce, copy, distribute, publish, display, modify, create derivative works from, or commercially exploit any content from this website without our prior written permission. This includes downloading images (other than through the normal viewing process of your browser), using any image as the basis for another photographic concept or illustration, and any form of digital alteration or synthesis of our images.

If you breach these terms, your right to use our website ends immediately and you must destroy or return any copies you have made.

6. Client image copyright

Copyright in all photographs we create is retained by Cambridge Photographers Ltd under the Copyright, Designs and Patents Act 1988. When you book our services and pay in full, we grant you a personal, non-exclusive licence to use your images as described in the booking terms below (see Section 11). This licence does not transfer copyright ownership.

Part C — Photography booking terms

The following terms apply when you book a photography session or event coverage with us. Together with any booking confirmation we send you, they form the contract between us.

7. Bookings

A booking is confirmed when we accept your request and you pay the required deposit (if applicable) or full fee. We will send you a booking confirmation by email. Please check it carefully and let us know immediately if anything is incorrect.

We use our professional judgement regarding photographic style, artistic direction, and the selection of final images. We will endeavour to accommodate your specific requests, but the creative approach remains at our discretion.

8. Pricing and payment

The price for your booking is the amount quoted to you and confirmed in your booking confirmation. Our prices are inclusive — there are no hidden fees for local Cambridge bookings.

For bookings that require a deposit, the deposit is due at the time of booking confirmation. The remaining balance is payable no later than 14 days before the session or event date, unless we agree otherwise in writing.

If full payment is not received by the due date, we reserve the right to cancel the booking and retain the deposit.

9. Cancellations and refunds

If you cancel within 14 days of making your booking (and the session date has not yet passed), we will refund your deposit in full.

If you cancel more than 14 days after booking but before your session date, we will retain the deposit to cover our costs (including the reserved date and any preparation work). Any additional payments already made will be refunded, less any expenses we have already incurred.

If you need to change the date, we will do our best to accommodate you. Rescheduling is subject to our availability and is offered at our discretion at no additional charge for the first change. We may charge a rescheduling fee for subsequent changes.

If we need to cancel your booking due to circumstances within our control, we will offer you a full refund of all money paid or an alternative date of your choice.

10. What happens on the day

We will cover your session or event to the best of our professional ability. However, photography is influenced by many factors beyond our control, including weather, venue restrictions, lighting conditions, the behaviour of guests, and changes to timings or schedules. We cannot guarantee specific shots or outcomes, and we are not responsible for factors outside our reasonable control.

You are responsible for the conduct of your guests. If guest behaviour interferes with our ability to work (for example, guest photographers competing for the attention of subjects, or verbally or physically abusive behaviour towards our photographer), we reserve the right to leave the event. In such circumstances, no refund will be given.

Photographs taken inside venues (churches, registry offices, colleges, hotels) are subject to the venue’s own rules regarding photography. We will comply with all venue requirements, which may limit the positions, timing, and style of photography available.

11. Your licence to use the images

Subject to full payment, we grant you a personal, non-exclusive, worldwide licence to use the photographs we deliver to you for the following purposes:

  • Personal use, including printing, framing, and sharing with friends and family.
  • Sharing on your personal social media accounts, provided you credit Cambridge Photographers where reasonably practical.
  • Personal, non-commercial online use (such as profile photos or personal websites).

You may not use the images for any commercial purpose (including resale, stock photography, advertising, or publication for profit) without our prior written consent and, where applicable, an agreed licence fee.

You must not digitally alter, retouch, apply filters to, or create derivative works from our images without our written permission. We take care to deliver images edited to a professional standard, and we ask that you respect the integrity of our work.

12. Our right to use the images

We retain copyright in all images we create. Unless you tell us otherwise, we may use photographs from your session in our portfolio, on our website, on our social media accounts, and in marketing materials to promote our business.

If you prefer that we do not use your images in this way, please let us know at any time — before, during, or after your session — and we will respect your wishes. 13. Delivery and galleries

We aim to deliver a next-day preview of selected images, with the full edited gallery typically available within 3–5 working days, depending on the type and length of the booking. Turnaround times may be longer during peak season (May–September). We will keep you informed.

Your images are delivered via a private online gallery with free high-resolution downloads. Gallery links remain active for at least 12 months from delivery. We strongly recommend downloading and backing up your images promptly, as we cannot guarantee indefinite storage.

Basic post-processing (white balance, exposure, cropping, sharpening) is included in every booking. More extensive retouching (blemish removal, background editing, compositing) is available at an additional fee, quoted in advance.

14. Travel and additional fees

Bookings within Cambridge city and its immediate surroundings carry no travel fees. For sessions further afield in Cambridgeshire, East Anglia, or beyond, we may charge a travel fee based on distance. We will confirm any travel fee in your quote before you book.

Additional fees may apply for: extended session time beyond the booked duration (agreed on the day), venue or location permit fees required by the venue, and any additional post-processing requested beyond what is included in your booking.

15. Substitute photographer

In the unlikely event that we are unable to attend your booking (due to illness, injury, or other unforeseen circumstances), we will make every effort to provide a substitute photographer of equivalent skill and experience. If we are unable to provide a substitute and must cancel, we will refund all money paid in full.

Part D — General

16. Limitation of liability

To the fullest extent permitted by law, our total liability to you for any claim arising out of or in connection with your booking shall not exceed the price you paid for that booking.

We are not liable for any indirect, consequential, or special losses, including (without limitation) loss of income, profit, data, or opportunity.

We take reasonable care with your images at all times. In the unlikely event that images are lost, corrupted, or destroyed due to equipment failure, theft, or circumstances beyond our control, our liability is limited to a refund of the booking price (less any deposit retained under Section 9).

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited under English law.

17. Force majeure

We are not liable for any failure to perform our obligations where that failure results from circumstances beyond our reasonable control, including (without limitation) severe weather, natural disaster, pandemic, equipment failure not caused by negligence, fire, flood, civil unrest, government action, or travel disruption. In such cases, we will offer you a full refund or an alternative date.

18. Disputes

If you are unhappy with any aspect of our service, please contact us first. We take complaints seriously and will do our best to resolve the issue directly.

If we are unable to resolve a dispute informally, either party may propose mediation through a mutually agreed mediator before pursuing legal proceedings. Both parties agree to engage in good faith with any mediation process.

These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from or in connection with these terms.

19. Changes to these terms

We may update these terms from time to time. When we do, we will update the “Last updated” date at the top of this page. Changes will not affect bookings that have already been confirmed — those are governed by the terms in place at the time of booking.
